Who we are
Japan Matcha Desk is a service of ChapterSun LLC, a company registered in Japan. ChapterSun LLC is responsible for the personal information described here. If you ask, we will tell you our registered address and the name of our representative without delay. Contact: desk@chaptersun.jp
What we collect
Only what you send us through the forms on this site or by email:
- Buyers: your name, email, company, destination country, the products you are looking for and your message
- Producers: company name, contact person, email, the products you make and your message
This site does not use advertising or tracking cookies. It loads fonts from Google Fonts, so Google receives your IP address when the page loads. To keep automated spam out of the forms, we use Cloudflare Turnstile, which checks your browser when you send a form.
How we use it
- To reply to you and handle your request or registration
- To ask producers about your request
- To introduce you to a producer, or a buyer to you
We do not sell your information, and we do not use it for anything else.
Services we use to handle it
We use these services to receive, store and work with what you send us. Each company handles it only to provide its service to us.
- Cloudflare, Inc. (United States): hosts this site and the forms, and stores requests
- Anthropic, PBC (United States): its AI, Claude, summarises what you send us and drafts our replies. A person reads every reply before it is sent. Under Anthropic's terms, it does not use this data to train its models by default and deletes it within 30 days.
- Google LLC (United States): our email (Gmail)
We use these companies under terms that require them to protect personal information, and we will tell you more about these measures if you ask. You can read about the data protection system in the United States in the report by Japan's Personal Information Protection Commission (in Japanese).
What we share with producers
When we ask producers about a request, we share what you are looking for, such as the product, volume and destination, without your name or contact details. We share your name, company and email with a producer only after you agree to the introduction.
How long we keep it
If a request does not lead to an introduction, we delete it two years after our last contact with you. If it does, we keep it while the business continues and for as long as the law requires after that. You can ask us to delete it at any time.
How we protect it
- Only the person who runs this desk can see requests. The page where we read them is behind a login.
- Information is sent over encrypted connections.
- We check the terms of the services we use, and the rules in the countries where they handle data.
Your rights
You can ask us to tell you what we hold about you, to correct it, to stop using it or delete it, or to tell you whom we have shared it with. Write to desk@chaptersun.jp from the email address you used with us. If we cannot confirm it is you, we may ask a question to check. There is no fee. People in the EU and the UK can make the same requests.
